Guided account onboarding
Creating an account starts a guided application rather than immediately granting full portal access. You must confirm your work email, provide the required user and organisation details and receive account approval before using the main portal. You are responsible for keeping the submitted information accurate and for selecting the correct organisation; selecting a public company record does not verify employment, ownership or authority. Optional Match Model and alert choices do not determine access. The private onboarding area may allow you to resume setup and contact support before approval, but it must not be used to bypass a restriction, submit abusive requests or create duplicate applications.
Portal notifications
The portal may show in-app notifications for selected social activity and account decisions. They are a convenience, may be delayed or unavailable, and are not a substitute for checking the relevant profile, discussion, account page or original procurement source. Marking a notification as read does not change the underlying social or account event. In-app notifications are separate from Signal emails: receiving a portal notification does not cause an email to be sent.
Private portal messaging
Approved members may privately message another member only while an accepted connection exists and neither member has blocked the other. Members may reply to messages and add or change an emoji reaction, including on their own messages. You remain responsible for every message and reaction sent through your account and must not send unlawful, threatening, harassing, deceptive, infringing, confidential, malicious, unsolicited or otherwise abusive material. A sender may unsend their own message, which replaces it in the participant view with an unsent marker; unsending does not remove a report snapshot or safety and audit record already created. Recipients may mute or archive a conversation, block a member, and report a received message for authorised review. Disconnecting or blocking stops new messages and reactions but does not erase existing conversation history. ProcuraAxis may rate-limit delivery, retain safety and audit records, review reported content, remove content, or restrict accounts to protect members and the service. Real-time delivery can be delayed or unavailable, so the interface may temporarily fall back to periodic updates.
Portal posts and community features
Approved members may publish posts, comments, replies and images using their personal profile or an associated company profile. You must have authority to publish the content, respect the selected audience, and must not post unlawful, infringing, deceptive, malicious or abusive material. ProcuraAxis may limit posting frequency, link counts, duplicate content, shortened links and suspicious link formats, and may remove content or restrict accounts to protect members and the service. Automated checks reduce ordinary abuse but do not guarantee that user-submitted content or external links are safe, accurate or endorsed.
Customer portal
The development customer portal uses the same approved ProcuraAxis account and essential sign-in session as the main website. Access on one ProcuraAxis subdomain may therefore be recognised on the other. Portal dashboards, summaries and matches are informational views of the same underlying public-source and customer-profile information and remain subject to all accuracy, source-checking and acceptable-use provisions in these terms. The portal may remain unavailable or unlinked until customer launch is approved.
Monthly Companies House snapshots
ProcuraAxis may use the official monthly Companies House Basic Company Data snapshot, supplied in multiple CSV parts, to support supplier matching without relying solely on live API calls. A number match, one unique active exact-name candidate or one unique active safely normalised current-name candidate across the complete snapshot set is an automated indicator only; it is not verification, endorsement or proof that the company is the legal entity named in a procurement notice. Missing, conflicting and ambiguous results remain unresolved. Users must check the original Companies House record and procurement notice before relying on a match.
Published notice, buyer and value details
Opportunity and buyer organisation pages reproduce selected fields from published procurement releases, including organisation details, contact information and proposed or awarded values where available. Buyer records from different sources may be grouped using a shared official identifier, or a safely normalised name with a compatible postcode; a grouping can still be incomplete or incorrect and is not verification of legal identity. A transparency notice or pending award does not mean that a contract has been concluded. Net and gross values, estimates and descriptive approximations are distinct and should not be treated as interchangeable. Some source details and tender-pack documents may be absent from our local presentation. Check the current original notice and documents before relying on a buyer identity, deadline, value, eligibility condition or award outcome, and use published contact details responsibly.
Administrator-directed company imports
Authorised administrators can select Companies House search results for controlled import into the local company directory. Search results are limited to displayed pages and may include similar names, historical entities or incomplete details. Inclusion in the directory is not verification, endorsement or proof that a company is the same entity named in a procurement notice. Users must check the original Companies House record and relevant notice before relying on a match.
Customer company profiles and opportunity recommendations
An approved user may select a public company record and create a private matching profile with capability keywords, target procurement sectors, delivery regions and a preferred contract-value range. Selecting a company does not prove that the user owns, works for, represents or has authority to act for that company. The user is responsible for keeping submitted profile information accurate and for having authority to provide it. Recommendation scores are discovery aids based on published CPV codes, text, locations and values; they do not establish eligibility, suitability, capacity, compliance, likelihood of award or whether an opportunity is commercially appropriate. Users must review the complete original notice and tender documents before acting.
AI Agent test area
The protected AI Agent is an experimental research tool. It sends the displayed public company and procurement information, together with information entered by the administrator, to an external AI provider to produce a structured analysis. You must have authority to provide any submitted material and must not enter secrets, passwords, special-category data or unnecessary personal information. AI output can be incomplete, inaccurate, biased or unsuitable and does not establish eligibility, capability, value for money or likelihood of winning. Model selection can change output and cost. You must verify every material point against the original notice and perform your own professional review before acting.
Reviewed supplier links and acknowledgements
Authorised reviewers may confirm a link between an awarded supplier and a Companies House company after inspecting a live profile. They may also acknowledge a supplier name as outside the current UK company directory and save an exact-name rule that automatically acknowledges future unmatched awards bearing that name. This rule does not prove that a supplier is unregistered or based outside the UK, does not change the original notice, and can be undone. Company links, saved rules, automatic acknowledgements and reversals are recorded in an audit history. These are ProcuraAxis interpretations, may contain human error and do not change official company records. Users should verify the legal entity against original sources.
About these terms
These terms apply when you access or use ProcuraAxis. The service is an actively changing development project and is supplied for evaluation and information. The legal identity, registered address and formal contracting details of the final operator must be added before paid or commercial access begins.
Information service—not advice
ProcuraAxis provides search, aggregation, automated and AI-assisted matching and informational scoring. It does not provide legal, procurement, financial, credit or professional advice and does not recommend any buyer, supplier or opportunity. You remain responsible for checking deadlines, eligibility, documents, identities and other material information against the original source before acting.
Public data and attribution
Procurement notices are sourced from Find a Tender, Contracts Finder, Public Contracts Scotland and Sell2Wales, and company information from Companies House. Find a Tender, Contracts Finder and Sell2Wales notice data is made available under the Open Government Licence. Contains public sector information licensed under the Open Government Licence v3.0. Public Contracts Scotland information is used subject to its publication policies and applicable attribution or licensing terms. Third-party names, content, database rights and trade marks remain the property of their respective owners. ProcuraAxis is not endorsed by Companies House, Find a Tender, Contracts Finder, Public Contracts Scotland, Sell2Wales, the Welsh Government, the Scottish Government or the UK Government.
Accuracy and availability
Source information can be incomplete, delayed, corrected or withdrawn. Automated supplier matching first uses a supplied or clearly embedded Companies House number and may convert a recognised legacy registered-society identifier to its canonical format. New and historical awarded suppliers may be queued for a controlled Companies House lookup, with new awards taking priority. ProcuraAxis checks local records before a live search and may reuse a successful company-name search for approximately 24 hours. It may accept a consistent prior reviewer-confirmed supplier-name and postcode link, one unambiguous exact current-name match, one unique active safely normalised current-name match, or one unique active previous-name match. A numeric name such as “400” may be compared with “Four Hundred” only where one active candidate has the same postcode. Normalisation is limited to punctuation, brackets, spacing, consecutive initials, “&”/“and” and equivalent legal suffixes; it does not use spelling correction or word reordering. Short names, conflicting identifiers, names or postcodes and multiple candidates remain unmatched for review; postcode is never used alone. Earlier no-match lookups may be retried after a matching correction, subject to the same rate limits. A queue entry, search attempt or automated match does not establish that the correct legal entity has been identified. ProcuraAxis may group records from different procurement sources when they share an Open Contracting ID or when exact title, buyer, value and deadline information aligns within a narrow publication-date window. A grouping can still be wrong or can miss related notices, so users must check every linked original source. Identifiers may be absent or incorrect, and name differences or duplicate names can prevent a match. Published values may include or exclude VAT; the basis is shown when the source supplies it. Lot and tender currencies can conflict in source data and are flagged rather than silently reconciled. Scores, matches, values, dates and statuses may be wrong or stale. The service may be changed, suspended, rate-limited or unavailable without notice, and no uninterrupted or error-free operation is promised.
Accounts and alerts
Registration creates an application that may be manually reviewed. We may approve, reject, restrict or suspend access to protect the service. Approved users may create a private company matching profile for opportunity discovery and may track supported companies or opportunities using the available Signal settings. Companies House updates and new contract awards are separate email alert types with independent frequencies. A contract-award alert means ProcuraAxis has first detected an eligible newly published notice for a tracked company; it does not independently verify the award, supplier identity, value or performance. Historical backfills and routine record refreshes are intended to be excluded, but source corrections, delays or matching errors can still affect delivery. Public company searches may show a limited preview; exact totals and full search pagination may be reserved for approved, signed-in accounts. Keep credentials confidential and notify us of suspected misuse. No notification or email alert should be relied upon for a deadline, status or award decision; users remain responsible for checking original notices.
Acceptable use
You must not unlawfully access, damage or disrupt the service; evade security, rate or access controls; introduce malicious code; use unreasonable automated extraction; share credentials; impersonate others; or use information unlawfully. Public-source information must be reused in accordance with its applicable licence and data-protection obligations.
Your submissions
You confirm that information you submit is accurate to the best of your knowledge, that you have authority to provide it and that you will keep saved company-profile information reasonably current. You retain responsibility for posts, comments, replies, images, links and private messages submitted through your account and must not use company posting features without authority. Selecting a company for matching does not claim or verify ownership and does not amend its official Companies House record. Demonstration forms do not submit bids, register legal interest in a tender or amend an official company or procurement record unless the page expressly confirms that action.
Intellectual property
ProcuraAxis software, branding, layout and original content remain protected by applicable intellectual-property law unless a separate open-source licence expressly applies to particular code. Access to the website does not grant a licence to copy the service or branding. Public data remains governed by its source licence.
Liability
To the fullest extent permitted by law, the service is provided “as is” and “as available”, without warranties about accuracy, completeness, fitness, availability or results. The operator is not responsible for decisions, bids, missed deadlines, losses or third-party actions arising from reliance on the service or linked sites. Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for fraud or fraudulent misrepresentation and, where applicable, death or personal injury caused by negligence. Appropriate commercial liability wording and any financial cap must be settled by qualified counsel before launch.
External links
External links open third-party services in a new tab. They are supplied for convenience; ProcuraAxis does not control and is not responsible for their content, availability, privacy or security.
Privacy and changes
Use of personal information is described in the privacy and cookie notice. Optional first-party visitor analytics operates only after the visitor accepts analytics and may use random visitor and session identifiers to measure human traffic, page use, coarse device categories and referring hostnames. Choosing Essential only keeps this collection disabled. We may revise these development terms as the service changes. Material releases affecting accounts, data use, matching, tracking, paid services or liability require a terms and privacy review.
Governing law
These development terms are intended to be governed by the law of England and Wales, with its courts having jurisdiction, subject to any mandatory consumer rights. This clause and the terms as a whole require legal confirmation before commercial launch.
